Privacy, Accessibility & AI Disclosure
Written in plain English, because a policy nobody can read protects nobody. This covers what we collect, what we do with it, what we will never do, how we handle confidential projects, and how to reach us if something on this site is not accessible to you.
The short version
- We collect what we need to quote and perform your work, and nothing beyond that.
- We use your information to contact you, price the job, do the work, and invoice it.
- Photos of your property are used for records, and for marketing only if you have not asked us not to.
- We will sign an NDA and keep a project entirely out of our records and marketing on request.
- You can ask us at any time to show you, correct, or delete what we hold.
- We do not sell your information. Not to anyone, not ever.
- We do not rent, trade, or share your contact details with other contractors.
- We do not use AI to make decisions about you without a person reviewing them.
1. Who we are
Southern Solution LLC is a veteran-owned exterior cleaning company operating in Middle Tennessee. This policy covers southernsolutiontn.com, any landing pages we run, and the information we collect when you contact us, request a quote, or hire us.

2. What we collect
You give us directly
- Name, phone number and email address
- Property address and details about the property
- What you want cleaned, surface types, condition notes, access notes
- Photos you send us of your property
- Anything else you choose to write in a message or form
- Payment details, which are handled by our payment processor and never stored by us
Collected automatically when you visit
- IP address, browser type, device type and operating system
- Pages viewed, time on page, and how far down a page you scrolled
- The website or ad that sent you here, including campaign parameters
- Approximate location derived from IP address, at city level
On the job
- Photos and video of the work area, before, during and after
- Measurements, surface notes, and the products and methods used
- Location data from our field application, used to confirm a crew is at the correct property
3. How we use it
- To quote your job. Property details and photos are how we produce an accurate price.
- To contact you. Confirming appointments, arrival times, and follow-up questions.
- To do the work. Access notes, surface types and prior treatment history all affect method.
- To invoice you and keep the business records the law requires us to keep.
- To document what we did. Before and after photos and a record of methods and products used, which protects both of us if a question comes up later.
- To improve the site. Aggregate analytics tell us which pages are useful and which are not.
- To advertise. We run paid ads and use conversion data to understand which ones work.
4. Who we share it with
We share information only with service providers who help us run the business, and only what each one needs. Every provider below is contractually bound to protect it and prohibited from using it for their own purposes.

We may also disclose information if we are legally required to, such as a valid subpoena or court order, or where necessary to protect someone's safety. If that ever happens and we are permitted to tell you, we will.
5. What we never do
Stated plainly so there is no ambiguity:
- We do not sell your personal information. Not to data brokers, not to lead aggregators, not to anyone, under any definition of "sale."
- We do not rent, trade or pass your contact details to other contractors, including when we decline a job. If we refer you to someone, we tell you and you contact them yourself.
- We do not use your information for anything unrelated to quoting, performing, invoicing or supporting your work.
- We do not add you to unrelated marketing lists because you asked for a quote.
- We do not track you across other websites beyond standard advertising cookies described below, which you can opt out of.
6. Photos and confidential projects
We photograph work before, during and after. Those photos serve two purposes: they are your record of what was done, and they are how we show prospective customers real work rather than stock imagery.
Your control over photos
- Tell us not to and we will not use them publicly. No form, no deadline, no explanation needed. Say it at any point, including after publication, and we take them down.
- We do not publish addresses, house numbers, licence plates or identifying details alongside photos.
- We do not publish interior photos. Our work is exterior.
- Photos we keep for your job record are retained whether or not you allow public use, because that documentation protects both of us.
Confidential and NDA projects
Where a project is confidential, we can go further than a standard NDA on request:
- No photographs taken at all, or photos taken and deleted after the invoice is settled
- No mention of the property in marketing, case studies, logo walls, reviews or social media
- Job records limited to the minimum needed to invoice and to satisfy tax record-keeping law
- Crew briefed on confidentiality before arrival, and unmarked vehicles where available
- Written confirmation from us once records have been reduced or deleted
Ask before work begins so we can set it up properly. We would rather build it into the job than retrofit it afterwards.
7. AI and automation
We use automation and, in places, AI tools to run a small business efficiently. We would rather tell you exactly where than leave you to guess.
Where we use it
- Routing. Form submissions and calls are automatically routed to the right person. This is workflow automation, not decision making.
- Drafting. We use AI assistance to help draft website content, quote templates and email responses. A person reviews anything that goes to you.
- Estimating tools. The calculators on this site apply fixed formulas we wrote. They are arithmetic, not AI, and every figure they produce is a ballpark that a person confirms before any work is scheduled.
- Scheduling and reminders. Automated messages confirming appointments and follow-ups.
Where we do not
- No automated decisions about you. No AI decides whether we will serve you, what you are charged, or how you are treated. A person makes those calls.
- No AI-generated photos of work. Every before and after image on our site is a real photograph of real work. We do not generate, composite or synthetically enhance results imagery.
- No AI-written reviews. Every review we display is a real customer's words, quoted as they wrote them.
- We do not feed your personal information into public AI tools. Your name, address and contact details are not pasted into consumer chatbots.
8. Cookies and tracking
This site uses cookies and similar technologies for three things: making the site work, understanding how it is used, and measuring advertising.
- Essential. Required for the site to function. Cannot be switched off.
- Analytics. Google Analytics, which tells us page views and general behaviour in aggregate.
- Advertising. Google Ads conversion tracking, which tells us an ad led to an enquiry without telling us who you are.
How to opt out
- Your browser settings can block or delete cookies at any time.
- Google Analytics offers a browser opt-out add-on at tools.google.com/dlpage/gaoptout.
- Advertising personalisation can be turned off at myadcenter.google.com.
Some browsers send a Global Privacy Control or Do Not Track signal. We honour Global Privacy Control signals where our tools support it.
9. Calls and text messages
When you give us a phone number, you agree we may call or text you about your quote and your job. Standard message and data rates apply.
- Reply STOP to any text and we stop texting. Reply HELP for assistance.
- Opting out of texts does not stop us contacting you by email or phone about work already in progress.
- We do not send marketing texts to people who have not hired us or asked for a quote.
- Calls may be recorded for quality and training. If a call is being recorded you will be told at the start.
10. Your rights
Tennessee's comprehensive privacy law, the Tennessee Information Protection Act, applies only to businesses above $25 million in annual revenue that also process data on at least 175,000 Tennessee consumers. We are well below both thresholds, so it does not apply to us.
We extend these rights to you anyway, because they are the right way to operate:
- See it. Ask what we hold about you and we will tell you.
- Correct it. If something is wrong, tell us and we will fix it.
- Delete it. Ask us to delete what we hold. We will, except records we are legally required to keep, such as invoices for tax purposes. We will tell you exactly what we kept and why.
- Take it with you. Ask for a copy of your job records, including photos, and we will send them.
- Opt out. Of marketing, of public use of your photos, or of texts, at any time.

Ask us to delete something sooner and we will, apart from what the law requires us to retain.
12. Security and breach notification
We take reasonable measures to protect your information, including encrypted connections on this website, access limited to people who need it, and reputable service providers who maintain their own security programs.
Tennessee law requires notice to affected individuals within 45 days of discovering a breach that materially compromises personal information. We would aim to tell you considerably faster than that, and we would tell you what happened and what to do about it rather than a vague statement.
13. Children
Our services are for property owners and managers. This site is not directed at children under 13 and we do not knowingly collect information from them. If you believe a child has given us information, email us and we will delete it.
14. Accessibility statement
We want this site usable by everyone, including people using screen readers, keyboard navigation, magnification or voice control.
What we are doing
- Working toward conformance with the Web Content Accessibility Guidelines (WCAG) 2.1 at Level AA.
- Descriptive alternative text on images that convey information.
- Keyboard navigation with visible focus indicators, so the site is usable without a mouse.
- Colour contrast checked against WCAG minimums for body text.
- Respect for reduced-motion settings, so animations are disabled if your device requests it.
- Semantic headings and landmarks so screen readers can navigate structure.
- Touch targets sized for people with limited dexterity.
Where we fall short
We are being honest rather than claiming full conformance. Some third-party components, including embedded maps and form plugins, are outside our direct control and may not fully conform. Some older pages have not yet been reviewed. We are working through the site rather than pretending it is finished.
We aim to respond to accessibility reports within five business days.
15. Changes to this policy
We will update this page when our practices change. The "last updated" date at the top always reflects the current version. Material changes affecting how we use information you already gave us will be communicated by email where we have your address.
